Introduction
Alpha Softwares (“Alpha”, “we”, “us”) respects your privacy. This policy explains how we handle personal information when you visit our site, request information about Alpha Edusoftlite, contact Sales or Support, or use materials that reference related apps such as My Sandesh on app stores.
Where a school or institute runs our ERP on its own systems, that institution usually decides why and how pupil and staff data is processed; we act as a software and services supplier as described under “Data controller & roles”.
Scope of this policy
This policy applies to:
- Visits to edusoftlite.alphaindia.in and similar Alpha marketing pages, forms, and enquiry flows.
- Communications you start with us (email, phone, WhatsApp links we provide, events, or partner introductions).
- General information we give about mobile apps (store listings and privacy practices are also described by Google Play and Apple).
- Support and commercial relationships tied to Alpha Edusoftlite, including AMC and deployment assistance, where we process data as agreed in your order or contract.
If a signed quotation, licence, AMC, NDA, or reseller agreement says something different for a specific engagement, that document controls for that engagement where the law allows.
Data controller & roles
Website, enquiries, demos, and marketing: For contact details and related activity that we collect directly from you, Alpha Softwares (417 Rashtradeep Complex, Rashtriya Shala Road, Rajkot, Gujarat, India) is the primary organisation you address. You can reach us through the contacts at the end of this page.
Data held by institutes on Alpha Edusoftlite: The school, college, coaching institute, trust, or other customer that licences the product is ordinarily responsible under law for student, parent, HR, payroll, attendance, academic, examination, disciplinary, biometric, OTP-based login, hostel, transport, and similar operational records. We provide software and support under their instructions and do not use that operational database to sell mailing lists.
Information we collect
The types of data depend on how you interact with us:
- You provide: name, designation, institute or organisation, city, email, mobile number, and message content when you request a demo or brochure, subscribe where offered, submit a form, attend a webinar we host, correspond with Sales or Support, or share details needed for AMC, billing, or partner programmes.
- Technical data: IP address or region, browser and device type, referring page, timestamps, coarse logs, cookies or similar identifiers where permitted, and security telemetry (such as suspicious traffic blocked by firewalls).
- Partner and payment context: limited billing references, reseller or partner onboarding details, and taxation identifiers where legally required.
- Operational data at your campus: remains primarily under institute control per their policies; our staff may access only what institutes share for support tickets or agreed services.
How we use information
We use personal information to:
- Respond to enquiries, schedule demos or calls, fulfil licence delivery, invoice, renew AMC, and provide support channels you open.
- Operate, secure, and improve our websites; measure aggregate traffic trends; diagnose delivery issues when you raise them.
- Send service-related notices (billing, SLA, security advisory) rather than unsolicited bulk marketing unless you opted in separately where consent is needed.
- Meet legal, accounting, and regulatory obligations; resolve disputes; detect fraud or misuse of enquiry forms.
Initiating contact through WhatsApp buttons we display means your number and chosen message template may appear in WhatsApp’s systems governed by WhatsApp Meta’s policies in addition to this policy.
Legal bases (India)
Our processing aligns with prevailing Indian law—including the Digital Personal Data Protection Act principles of purpose limitation, lawful processing where consent is required, security safeguards, and grievance redressal. Where another basis (such as performance of a contract or legal obligation) applies, we rely on that where appropriate. Sensitive data that institutes store in their ERP is primarily controlled by them; we process it only as they instruct and as our agreements require.
Cookies & similar tech
We may use strictly necessary cookies for security and preferences, and where you agree, analytics or marketing tags. Adjust your browser settings or refuse non-essential cookies when a consent banner appears. Blocking cookies may affect some site features.
Sharing & processors
We do not sell your personal information to data brokers for unrelated advertising lists. We may share limited data with:
- Service providers acting on our behalf (such as hosting, email delivery, helpdesk or CRM tools), under contracts that require confidentiality and appropriate security.
- Professional advisers, auditors, insurers, banks, payment processors, GST or tax portals, or lawful authorities where required.
- In a merger, reorganisation, or lawful transfer of business—including successor notice where required.
If we introduce cross-border processing outside India where applicable law requires safeguards, we will describe that in updates to this policy or your contract documentation.
Retention
We keep enquiry records, commercial correspondence, and billing lines for as long as needed to fulfil the purpose collected, honour AMC and warranty obligations, and meet statutory bookkeeping and tax retention timelines in India. Older marketing leads may be archived or erased after suppression. Institute-run databases follow each customer’s retention and backup schedules.
Security
We apply reasonable organisational and technical safeguards—access limits for staff and vendors, credential hygiene, patching for systems we administer, TLS for transmissions we control, segregated ticketing for support, and escalation paths for suspected incidents. No online system can be guaranteed perfect; institutes should follow their sector’s security practices for onsite deployments.
Your rights & choices
You may seek access or correction where factually inaccurate, withdraw marketing consent where we rely on consent, escalate grievances to us in the first instance, or—where statute allows—refer concerns to regulators. Parent and student academics remain primarily with the institutes that licence the ERP unless your request relates purely to enquiries you lodged with Alpha (quote your enquiry reference when emailing).
Children & schools
Our corporate website is oriented to adults who represent institutions or parents. Operational student data resides with schools per their enrolment consent and statutory duties; app-store policies also apply where guardians install student apps listed as My Sandesh.
Changes to this policy
We may revise this policy periodically. Material changes will be reflected here with an updated “Last updated” date. Continued site use after changes may signify acceptance where the law recognises implied consent for informational updates.
